Privacy Policy
Khise Digital Solution (“we”, “us”, “our”) operates KDS VETANA, an HR and payroll platform used by employers (our customers) and their employees. This Privacy Policy explains what information is collected, why it is used, and how it is shared. Use this same page as the privacy policy URL in Google Play Console for the KDS Vetana Android app.
1. Who this policy covers
- Visitors to this marketing website and enquiry forms
- Employer administrators using the KDS VETANA web portal
- Employees using the KDS Vetana mobile app
Employee personal data is processed primarily on behalf of the employer who subscribes to KDS VETANA. The employer is typically the data controller for employee HR records; we act as a service provider / processor for that data.
2. Information we collect
2.1 Account and identity
- Name, work email, employee code, company code / organization identifiers
- Login credentials (passwords are stored hashed; we do not store plaintext passwords)
- Role and employment-related profile fields configured by the employer
2.2 Attendance and location
- Check-in / check-out times and attendance history
- Approximate or precise location when the employer requires GPS-based attendance (Android: fine / coarse location permissions)
2.3 Leave, payroll, and documents
- Leave applications and balances
- Salary slips and related payroll outputs published by the employer
- Optional photos or files if the user uploads profile images or documents (camera / media permissions)
2.4 Device and notifications
- Device push notification tokens (Firebase Cloud Messaging)
- Device / app identifiers needed to deliver announcements and alerts
- Optional diagnostic or crash information if enabled for support
2.5 Website enquiries
- Name, email, phone, and message content submitted via the contact form
3. How we use information
- Provide app and portal functionality (attendance, leave, payslips, HR workflows)
- Authenticate users and secure accounts
- Send employer-approved notifications and announcements
- Respond to demo / contact enquiries
- Maintain, secure, and improve the service
- Comply with applicable law and legitimate employer instructions
KDS VETANA does not sell personal data.
4. How information is shared
- With the employer: Employee attendance, leave, profile, and payroll data are available to authorized company admins on that employer’s tenant.
- With service providers: Hosting, email delivery, and Firebase (push notifications), only as needed to run the product.
- Legal: If required by law or to protect rights, safety, and security.
5. Android app permissions
The employee app may request:
- Internet access
- Location (for GPS check-in when enabled by the employer)
- Camera and media access (optional uploads)
- Notifications (announcements and alerts)
- Vibrate (notification feedback)
You can revoke permissions in Android system settings; some features may then be unavailable.
6. Security
Data in transit to our APIs is protected with HTTPS. Access is restricted by authentication and employer tenancy. No method of transmission or storage is 100% secure; we use reasonable technical and organizational measures appropriate to the service.
7. Data retention and deletion
We retain data for as long as needed to provide the service to the employer, meet legal obligations, and resolve disputes. Employees who want correction or deletion of HR records should contact their employer / HR admin first. You may also email us at info@khisedigital.in; we will coordinate with the relevant employer where appropriate.
8. Children
KDS VETANA is a business HR/payroll product and is not directed at children. We do not knowingly collect data from children for consumer use of this app.
9. International / third-party services
Depending on configuration, data may be processed on servers and by vendors (for example Firebase) that operate in or outside India. We require appropriate safeguards consistent with how the product is delivered.

11. Changes
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the website, portal, or app after an update means you accept the revised policy, to the extent permitted by law.
